Step Guide: DonorPerfect

Business Systems

Find constituents and read codes, gifts and renewals from DonorPerfect in a workflow

Overview

The DonorPerfect step reads from a connected DonorPerfect database, so a workflow can check who someone is, which codes you use, what they have given, and whose membership is about to lapse, without anyone looking it up by hand. Find a constituent by donor ID, by email, or by name and ZIP code, list the codes for a field such as membership type, list gifts, or list the memberships expiring soon. The step only reads: it never adds or changes a record. Requires a connected DonorPerfect integration.

Find Constituent

Look someone up by donor ID, by email, or by name and ZIP code, and get back every possible match with the detail it matched on. The step never picks one for you: it tells you whether it found nobody, exactly one person, or several.

  • Tell a new member from a renewing one when a web order arrives
  • Check a gift form against your database before a person enters it
  • Flag possible duplicates for a person to review

A donor ID, when you give one, is tried first, and also returns the date the membership began. Then the email. If nobody has that email, the step tries last name and ZIP code together, then last name alone, adding the first name to each when you give one. It stops at the first search that finds anyone. The output says none, one or many, lists the candidates with their donor ID, name, email, address, membership type and expiry, and says what each matched on. The donor ID is filled in only when exactly one person matched.

Tips
  • Branch on the match with a Condition. Act on a single match, and send several matches to a person rather than guessing.
  • A single match found by name alone is weaker than one found by email. If anything will be sent or recorded because of it, treat it like several matches and have someone check.
  • Pass the ZIP code when you have it. Two people with the same name are usually told apart by where they live.

List Codes

List the codes DonorPerfect accepts for one field, with their descriptions, such as your membership types or your GL codes.

  • Map each web product to the membership type code your database uses
  • Flag an order whose product has no matching code before it is imported
  • See which GL codes set a membership, and for how much

Name the field, for example MCAT for membership types or GL_CODE for GL codes. Each code comes back with its description and whether it is retired. For GL codes, it also shows the membership settings the code carries: the membership type it sets and the gift amounts it applies to.

List Gifts

List the gifts one donor has made, or every gift received in a date range, with the amount, date, GL code, solicitation, campaign and reference.

  • Check whether a web order has already been entered, by its order number
  • Review a member’s giving history before a renewal call
  • Learn which GL code each product has been recorded under

Give a donor ID, a From date, or both; one of them is required so a run never reads your whole gift history. To Date is optional. You can give several donor IDs at once, keep only certain GL codes or solicitation codes, and include pledges as well as gifts. Under Advanced settings you can add more columns to each gift, such as who entered it and when, and your own gift fields by name. The list stops at the Maximum Gifts you set (1,000 unless you change it) and is marked as truncated when more gifts matched.

List Expiring Memberships

List the members whose membership expires in a date range, with their name, email, membership type and expiry date.

  • Send renewal reminders a month before a membership lapses
  • Give your membership team a weekly list of upcoming renewals
  • Find lapsed members to invite back

By default it lists memberships expiring from today to 60 days from now; set Expiring From and Expiring To to change the window, and pick membership types to narrow it. Loop over the list with a For Each to send each member a reminder.

Tips
  • Members with no email address still need a reminder. Split the list with a Filter and send those by post.
  • Run it weekly with a window that overlaps the previous week, and remove duplicates by donor ID so nobody is reminded twice.

Frequently Asked Questions

What does the DonorPerfect API key give access to?
A DonorPerfect API key cannot be limited: it can read and change your whole database. Formt only ever reads with it, and has no action that writes to DonorPerfect. Create the key for a dedicated DonorPerfect user so you can revoke it at any time without affecting a member of staff.
Can it add a new member to DonorPerfect?
Not yet. The step reads only. To add someone, have the workflow prepare a list or a spreadsheet for your team to import.
Can List Gifts show more than the standard gift details?
Yes. Under Advanced settings, Extra Columns adds details such as whether a gift is part of a split, its thank-you letter, and who created or last changed it and when. Gift User Fields reads your own gift fields by their DonorPerfect name, for example MEMBTYPE, and each comes back as udf_ followed by the name in lower case. Only the columns you choose are added, and there is no way to type a free query.
Can I find a constituent by their donor ID?
Yes. Put the donor ID in Find Constituent and it is searched before the email and name. The match also carries the membership type, its expiry and the date the membership began.
