Step Guide: Format Email

Email

Build one branded, reviewable email that a Send Email step delivers

Overview

Format Email turns a header, body and footer into one complete email. It holds your branding (logo header, sign-off footer, an optional bordered card) in one place, lets you review and edit the finished email before it goes out, and supports per-recipient personalization. A Send Email step then delivers the result to each recipient.

When to Use

  • Wrap an AI-written body in a consistent logo header and footer before sending
  • Review and edit a newsletter exactly as it will look, then send it to a whole list
  • Greet each reader by name with a personalization tag

How It Works

Set the title (subject), an optional bordered inlay, and the header, body and footer. The header, body and footer are edited as HTML so styled boxes and full-width images are kept exactly as written. The step assembles them into a single email and produces two outputs: the subject and the finished HTML. Point a Send Email step at those (subject and body) to deliver it. Turn on review to pause after assembly and see the finished email, where you can edit the body in place, populate sample values for any personalization tags, and send yourself a test.

  • subject: The email subject line. Map a Send Email subject to this.
  • body: The full assembled email. Map a Send Email body to this.
Tips
  • Put branding here, not on the Send Email step, so every send in the workflow shares one header and footer.
  • For a list send, place Format Email before the loop so the email is assembled and reviewed once, then delivered to every recipient.
  • Reach for the bordered inlay when you want the content to sit in a centered card on a light background rather than run full width.

Frequently Asked Questions

How do I personalize each recipient, like using their first name?
Write a tag such as {{recipient.Name}} anywhere in the title, header, body or footer. It stays as-is through review, and on the Send Email step you map each tag to a per-recipient value (for example the name column from your list). A tag you do not map, or one that has no value for a recipient, simply shows as blank.
Why not just put the header and footer on the Send Email step?
Keeping branding on Format Email means it lives in one place and the finished email can be reviewed as a whole before any sends happen. The Send Email step then only needs the recipient, subject and body.
Will editing the email in review change what everyone receives?
Yes. The edit updates the single assembled email that the Send Email step reads, so every recipient gets your edited version.
Does the review test send go to my real recipients?
No. The test send goes only to your own email address so you can check the layout and images before approving the real send.
