Step Guide: Gmail

Email

Automate the send, keep the conversation in your own inbox

Overview

The Gmail step sends email from the Gmail inbox your team has connected. Because it sends as your real address, the message lands in your own Sent folder and reads as a genuine one-to-one email rather than a bulk send. Any replies come straight back to that same inbox, so you automate the outreach but still receive and manage the responses personally, just as if you had written the email by hand. It can carry file attachments from earlier steps. Requires a connected Gmail account, which is separate from a Google Drive connection.

Send Email

Send an email from your connected Gmail address. The recipient, subject, body, and attachments can all come from earlier steps, so each run sends a message tailored to that run.

  • When someone signs up, send a warm welcome from your own address with onboarding info attached, so any questions they reply with come back to your inbox
  • Send an AI-personalised email to each contact in a list, from your own address
  • Send a generated PDF (quote, report, summary) straight from your own inbox and field the responses yourself

Fill in the recipient, subject, and body. Each field takes a fixed value or a reference to an earlier step, such as the email from a form or a body written by an AI step. The body is plain text. Add Cc or Bcc recipients a row at a time under Advanced settings, each row a fixed address or a reference to an earlier step. To attach files, point the Attachments field at file outputs from earlier steps (for example a generated PDF); leave it empty to send a plain message. The email goes out from the connected Gmail address and appears in that account's Sent folder. Because it is a normal message from your own account, any reply comes straight back to that inbox for you to read and respond to yourself. The step returns the message ID and the thread ID it created.

Tips
  • Gmail limits how many messages an account can send per day (roughly 500 on a personal account, 2000 on Google Workspace), so this is best for smaller, personal sends. For larger bulk sends from your own domain, set up a custom sending domain in Formt and use the Send Email step instead.

Frequently Asked Questions

Where do replies go?
Straight back to your connected Gmail inbox. The message is a normal email from your own account, so when the recipient replies it lands in your inbox like any other email, in the same thread. This is a good way to automate the sending while still receiving and managing the responses personally. Formt does not read or process those replies; you handle them yourself in Gmail.
How is this different from the Send Email step?
Send Email goes out through Formt's own sending service, which suits transactional and bulk mail. The Gmail step sends as your own Gmail address, so the message lands in your real Sent folder, reads as a personal one-to-one email, and replies come back to your own inbox. Use Gmail for relationship outreach and Send Email for volume.

Do I need to connect Gmail separately from Google Drive?
Yes. Gmail is its own connection with its own permissions, so connecting Gmail does not change your Google Drive access, and connecting Drive does not let workflows send mail. Connect Gmail from the integrations settings page.
Can I send from more than one Gmail address in the same organisation?
One Gmail inbox is connected per organisation, so every Gmail step sends from that shared address. It works well as a shared team inbox.
Can I attach files?
Yes. Point the Attachments field at file outputs from earlier steps, such as a generated PDF. Gmail caps a single message at 25 MB including attachments, so very large files are rejected.
